Privacy Policy & Personal Data Protection Notice

EntryGrid is operated by Beyonary Sdn Bhd (1405752-A) of Puchong, Selangor, Malaysia ("we", "us"). This notice explains how personal data is collected, used, disclosed and protected on entrygrid.io and in the EntryGrid platform.

1. Personal data we collect

Organiser accounts: name, email address and login credentials. Guests: name, email address, phone number, company, job title, RSVP response, party size, dietary requirements, special requirements, answers to event-specific questions, and attendance records (check-in time). Guest data is provided by the event organiser or submitted by guests themselves through event registration pages. Enquiries: contact details submitted through demo or contact forms on this site.

2. Purpose of processing

Guest data is processed solely to operate the relevant event: sending invitations and reminders on the organiser's behalf, registration and RSVP management, issuing entry passes, event-day check-in, seating, and attendance reporting to the organiser. We do not sell personal data or use guest data for advertising or any purpose unrelated to the organiser's event.

3. Who controls guest data

The event organiser (the company hosting the event) is the data user for their guest list; Beyonary processes that data on the organiser's instructions. Guests with questions about why they were invited or how their data was obtained should contact the event organiser named on their invitation, or reach us at the address below and we will direct the request.

4. Disclosure

Personal data is disclosed only to service providers necessary to run the platform: cloud database and hosting infrastructure, and email/messaging delivery providers used to send invitations, confirmations and reminders. These providers process data on our instructions. Data may be stored on servers located outside Malaysia (currently Singapore-region infrastructure). We may disclose data where required by law.

5. Security

Data is stored on managed cloud infrastructure with role-based access controls — organiser staff only see the events they are assigned to, and door staff have check-in-only access. Entry pass codes are unique per guest and event. Transmission is encrypted (HTTPS).

6. Retention

Guest data is retained while the organiser's workspace remains active so that organisers can reference past events. Organisers may delete individual guests, whole events, or request deletion of their workspace, which permanently removes the associated guest data.

7. Your rights (access, correction, withdrawal)

Under the PDPA you may request access to and correction of your personal data, and may withdraw consent to further processing (for example, to stop receiving reminders for an event). Guests can also simply decline via their RSVP link. Requests may be made to the event organiser or to us at the contact below; we respond within the timelines required by law.

8. Bahasa Malaysia

Notis ini menerangkan bagaimana Beyonary Sdn Bhd mengumpul, menggunakan dan melindungi data peribadi anda selaras dengan Akta Perlindungan Data Peribadi 2010. Data tetamu diproses semata-mata untuk mengendalikan majlis penganjur (jemputan, pendaftaran, pas masuk dan daftar masuk). Anda berhak memohon akses kepada dan pembetulan data peribadi anda, atau menarik balik persetujuan, dengan menghubungi penganjur majlis atau kami di alamat di bawah. Sekiranya terdapat percanggahan antara versi Bahasa Inggeris dan Bahasa Malaysia notis ini, versi Bahasa Inggeris akan diguna pakai.
